A global investment fund with offices in New York City is seeking a contract Facilities & Operations professional. This role involves managing day-to-day office facilities, vendor relationships, procurement, and supporting various workplace services initiatives.
Hybrid schedule (4 days on-site, 1 remote)
Hours: 8:30am - 5:30pm
Salary: $80K - $100K
Responsibilities:
- Maintain office spaces in top condition through regular inspections and prompt resolution of any issues, ensuring a high level of service for all employees
- Reorganize meeting rooms and support office events, making sure that spaces are set up for company-wide meetings and gatherings
- Oversee the upkeep of critical office infrastructure and systems, performing inspections and addressing maintenance needs as required
- Build and maintain relationships with external vendors, ensuring that service quality meets expectations while managing costs effectively
- Lead the procurement process by evaluating vendors, negotiating contracts, and managing the RFP process
- Assist with procurement and financial tasks, including processing invoices, supporting budget planning, and monitoring expenses
- Track and maintain accurate records related to facilities operations, including budgets, inventory, and ongoing maintenance needs
Requirements:
- Highly organized with the ability to manage multiple tasks and meet deadlines in a dynamic environment
- Strong communication skills and a collaborative approach to working with teams and external partners
- Proficiency in Microsoft Excel, PowerPoint, Word, and Outlook
- Flexibility to work occasional overtime and adaptability in learning new systems or tools
- A degree in engineering, facilities management, or a related field is a plus
